Primary Purpose: To act as the administrative assistant for assigned department providing clerical services and managing office activities.
Education / Certification:
- High School Diploma or GED.
Special Knowledge / Skills:
- Proficient skills in typing, word processing, and file maintenance.
- Ability to keep confidential information.
- Effective communication and interpersonal skills.
- Ability to make independent decisions.
- Ability to deal with the general public.
- Good organizational skills.
- Ability to use personal computer and software to develop spreadsheets, databases, word processing, PowerPoint (including Microsoft Office).
Experience / Other Requirements:
- Three years of Clerical / office experience, preferably in a public education environment.
- Accounting or bookkeeping experience is preferred.
Major Responsibilities and Duties:
- Assist patrons/parents/employees who call or visit the office.
- Answer incoming calls, take reliable messages, and route to appropriate staff.
- Receive, sort, and distribute mail and other documents to department staff.
- Types, proofreads, copies, files, and distributes all letters, documents, memos, and other communications for the department and administrators.
- Assists with various department operations as requested and as responsibilities permit to include but not limited to: principal evaluation process, organizational health evaluation process, and campus checkpoint process.
- Orders supplies for the department.
- Prepare monthly budget/expense report for department.
- Manages department budgets and performs routine bookkeeping tasks, including simple arithmetic operations, for the Executive Directors of School Improvement and other department members.
- Assists the Executive Directors of School Improvement and other department members with budget preparations for the new school year.
- Process purchase orders monthly for payment of contract services.
- Assist administrators on projects as needed.
- Keep up with changes in policy and procedures.
- Keep current all assigned files, documentation, & forms.
- Responsible for properly maintaining district records, adhering to all policies set forth by the district for records maintenance and learning the records retention schedule for department records.
- Other duties as assigned.
Supervisory Responsibilities: None.
