Primary Purpose: Under supervision of the principal, provides reception and clerical assistance for the efficient operation of the campus office. This position requires a high level of professionalism and discretion in order to support efficient office management with superior customer service.
Education / Certification:
- High School Diploma or GED is required.
Special Knowledge / Skills:
- Proficient keyboarding skills.
- Experience using Microsoft Office to include Word, and Excel.
- Effective organization, communication, and interpersonal skills.
- Ability to follow written instructions.
- Ability to operate a multi-line phone system.
- Basic math skills.
Experience / Other Requirements:
- Three years of clerical / office experience, preferably in a public education environment.
- Professional demeanor suited to a large office environment.
Major Responsibilities and Duties:
- Answers all incoming calls as requested, takes reliable messages, and routes to appropriate staff.
- Greets and directs campus visitors.
- Handles upset patrons/parents in a professional manner as needed.
- Assists parents in checking students in and out of school.
- Receives, sorts, and distributes mail, messages, documents, and other deliveries.
- Assists with the receipt and distribution of student materials.
- Assists with preparation of materials for mailing, including preparing labels, stuffing envelopes, etc.
- Prepares correspondence, forms, reports, information packets, etc. as needed.
- Maintains computerized files using personal computer, including reports, employee roster, and mailing lists.
- Performs routine bookkeeping tasks for the campus as needed.
- Assists with the scheduling of teacher conferences.
- Provides clerical assistance as needed.
- Maintains confidentiality.
- Performs office management duties and principal office reception support as needed by the campus principal.
- Performs other duties as assigned.
- Responsible for properly maintaining district records, adhering to all policies set forth by the district for records maintenance and learning the records retention schedule for department records.
